TRACS User Deactivation for Inactivity Starts October 22

Regulation | October 16, 2017 | by Colleen Bloom

Users and Coordinators must access WASS at least once every 90 days and must change their WASS password at least once every 90 days or lose access.  Further, TRACS Coordinators must certify all TRACS Users no later than December 31, 2017. An update User's Guide and Recertification Training Question and Answer document are now available.

Access to HUD's online system programs - also referred to as the Web Access Security Subsystem (WASS) or Secure Connection - has multiple security redundancies. In order to continue to have access to WASS, Users and Coordinators must access WASS at least once every 90 days and must change their WASS password at least once every 90 days. TRACS Coordinators must also access either TRACS or iMAX at least once every 90 days in order to continue to be able to use TRACS or iMAX. Even when a TRACS User is certified by the TRACS Coordinators, TRACS Users must access either TRACS or iMAX at least once every 90 days in order to be able to continue to use TRACS or iMAX.

TRACS User Deactivation Starts October 22 for Users with 90-days of Inactivity

In August 2017, HUD issued RHIIP Listserv messages #391 TRACS User Recertification Notification and #392 TRACS Recertification Training announcing plans to implement stringent deactivation deadlines for users with 90-days of inactivity in the TRACS system starting October 22.  A new TRACS Recertification Subsystem was launched earlier this year to enable TRACS coordinators to perform recertification and reactivation functions for authorized users.

The first RHIIP Listserv also referenced a complimentary, interactive, online training option provided by HUD. This training provided an overview of the process and is intended for TRACS Coordinators. "The training is not mandatory," explained Mary Ross in her HUDBlast. "However, TRACS User Certification is Mandatory; hence the reference ‘Mandatory TRACS User Certification’.”

TRACS User Certification Required Annually

Starting September 1 each year, TRACS Coordinators will be required to certify all TRACS Users who continue to need access to TRACS data. It is mandatory that Coordinators certify all TRACS Users no later than December 31. Users who are not certified by December 31, 2017 will no longer have access to TRACS.

And Coordinators and Users that fail to access and update their passwords to WASS and/or TRACS at least once every 90 days will lose access.  User access can be restored by their Coordinator.

TRACS Certification Resources

Coordinators may review HUD's TRACS Recertification Internet User’s Guide (revised in July, 2017) and training questions and answers.  Additional resources include a taped archive of the TRACS 2017 Mandatory User Recertification training video (held in August, 2017),
